“Managing Projects inside Budget”

The three goals of every Project Manager are to deliver their project on time, within budget and to specification. It can be argued that the easiest is managing a project on time, as time is usually the one thing that is set out clearly at the start of the project. However managing projects within budget is often more difficult, as the budget allocated is usually insufficient to cover the real cost of the project, and changes throughout the project management life cycle typically don’t allow a Project Manager to increase their budget allocation.

So how to you manage a project within budget? The 1st thing you need to do is use your project management tools to create a detailed Financial Plan fro the project which sets out the overall budgeted expenditure. Make sure that the financial plan lists the tasks to be completed to deliver the project and the budgeted cost of each task.

Then you have something to compare against as you deliver the project. Then get your plan approved and being the project manager, implement a process as early as possible, for the tracking, recording and approval of expenses throughout the project lifecycle. During the project, continuously measure the cost of each task against the budget and resolve any financial issues as soon as they arise.
